POSITION SUMMARY

Under the general supervision of the Finance Director, this position performs a variety of technical tasks related to purchasing, payables, and receivables.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may be required and assigned.

1. Provides first line customer service to internal and external customers; greets, receives, and screens visitors and customers.

2. Addresses and resolves customer questions/concerns as able and refers complex inquiries, requests, or complaints to appropriate staff.

3. Sorts, copies, and distributes a variety of correspondence, deliveries, and mail; opens, logs, and routes office mail; retrieves, delivers, and sends faxes.

4. Composes routine correspondence; proofreads and edits documents.

5. Enters, scans, updates, and maintains information in spreadsheets, databases, and reports.

6. Maintains department specific electronic and paper filing and record systems and documents to provide easy access to records and information; provides retention of records as required.

7. Reviews and processes accounts payables for payment and issues checks and ACH payments.

8. Reviews and processes invoices and credit card/gas card expenditures, verifies coding of purchases, reviews supporting documentation, account number coding, reconciles vendor and credit card statements, and posts activity to general ledger and accounts payable.

9. Receives and reviews accounts payable mail. Scans, saves, and distributes to departments for approval.

10. Balances monthly general ledger accounts.

11. Prepares purchase orders. Ensures vendor information is properly filed.

12. Maintains and tracks vendor W-9’s for 1099 preparation and supports 1099 year-end processing.

13. Maintains accounts payable files and reports.

14. Records and sets up new or disposes of fixed assets; calculates and posts depreciation to general ledger as requested. Maintains title, licensing, and insurance. Allocates insurance premiums annually.

15. Performs General Ledger month-end close; reviews, prepares, and posts all journal entries before month end close.

16. Reviews accounts receivables; maintains, reviews, prepares, and tracks outstanding accounts receivables.

17. Verifies petty cash receipts for accuracy; balance daily cash intake drawer; resolves discrepancies.

18. Electronically deposits checks; resolve discrepancies as needed.

19. Performs bank reconciliation; analyzes monthly activity and balances bank statement activity to the General Ledger and prepares bank reconciliation accounting for discrepancies between the bank and the General Ledger.

20. Assists other department personnel during peak periods or absences, as needed.

21. Other duties as assigned.

Job Type: Full-time

Pay: From $17.95 per hour

Expected hours: 40 per week
